About this data used in this demo
For this demo - I created all the data for this P&L year by setting up a number of monthly, quarterly and annual payments using the program Direct debits/Standing Orders - BS423 and generated the transactions using the program Process Standing Orders - BS429.

You can download this database for educational purposes!
Once downloaded, use the program Open another database - BS426 to open the database and experiment with the P&L Programs.
You should be able to recreate the environment for the examples discussed in this section.

Referring to Screenshot BS410S01-4 note the explanation of the data listed in the three panels.

Why are all my P&L Groups not displayed?
The program displays ONLY the P&L Groups which are found to have transactions.
Redundant P&L Groups will not appear in BS410 if:

  • we do not link Categories to a P&L Group in BS409
  • the category linked to a P&L Group does not have any transactions for the selected P&L year

The Blank Description Line
Before processing (see Screenshot BS410S01-3) the net value of all transactions were summarised in one line in the P&L Groups panel, with a blank description. The Blank Description Line is arrowed in the  Screenshot BS410S01-3
If this blank line disappears after automatic processing (in Step 5) then all transactions associated with the selected banks, categories (or tags) have been accounted for in our P&L Groups.
If you have omitted to link a Category to a P&L group then the blank description line will persist and the sum of unlinked transactions will be shown in that line.
The Blank Description Line always appears at the TOP of the P&L Groups list.

The Blank Description Line will also appear if you unlink transactions from P&L Groups, or if you subsequently add a new transaction.
You can click the Analyse button at any time, and use the Auto Linking tool to quickly link up any new transactions.

Marginals - Transactions which straddle Start and Year end dates
You may wish to carry forward transactions which have been registered in the current P&L Year, but which have not appeared on your Bank Statement by year end date e.g. uncashed cheques.
Bank Genie has a feature to isolate a list of marginals and provides tools to allow you to deal with them.
