Starting the program
On the Main Menu, click the Setup tab then click Categories - BS420
The initial screen BS420S01 shows a list of any Categories which you have already added (if any)

About this program
This program allows you to maintain your list of Categories and Sub-Categories.
Categories are used when you add transactions to your database e.g. using the program Manage Transactions program - BS421.
You can actually work the system by adding one single Category e.g. Miscellaneous, and allow all your transactions to be assigned to that category.
You can construct a complex Chart of Accounts with Categories and Sub Categories.
The choice is yours, but your should make it as simple as possible.

Categories and sub categories can be added “on the fly” when using the program Manage Transactions program - BS421 the advantage being you don’t have to exit that program and start this program (Categories - BS421).

This program gives you an overview of your Categories chart.
You can add, edit and delete Categories and Sub-Categories.

Adding a Category
In the initial screen BS420S01 click the Add button

  • Enter a Category Name
  • Use the pop-up to select Income or Expenditure
  • Click the Add button

Adding a Sub-Category (OPTIONAL FEATURE- See Preferences)
In the initial screen BS420S01 click in the list to select an existing Category or Sub Category
Then click the Add button
Alternatively, right-click on a line and select Add SUB-Category from the shortcut menu

  • Click the Radio button This is a SUB-Category
  • Use the pop-up Parent for this Sub-Category to make your selection
  • Use the pop-up to select Income or Expenditure
  • Click the Add button

When adding a sub-category, click on the parent in the initial screen BS420S01
In the Add screen BS420S01, when you click This is a SUB-Category the Parent for this Sub-Category pop-up will be automatically set to the value clicked in the initial screen.

Editing a Category
In the initial screen BS420S01 click in the list to select an existing Category
Then click the Edit button
Alternatively, right-click on a line and select Edit from the shortcut menu

  • Edit as required
  • Click the Change button

Deleting a Category
In the initial screen BS420S01 click in the list to select an existing Category
Then click the Delete button
Alternatively, right-click on a line and select Cut (or Edit) from the shortcut menu

Tips on adding Sub-Categories
Opting to use Sub-Categories will add complexity

The software will allow you to create up to 5 levels (Category and a cascade of sub-categories)
If you choose to use Sub-Categories, it is best to structure to two levels (Category and Sub Category).
It is impractical to go beyond 3 levels
